Build a clear charter e-signature workflow connecting the selected quote, approval, authorized signer and document version through confirmation.

A charter e-signature workflow starts before the signature request is sent. The planner, broker and signer need to agree on which option is being accepted and which document governs that decision. Treat signing as one step in a connected workflow, with a visible path from the selected quote to the executed document and the remaining booking actions.

Confirm the document and signer first

Check the selected quote reference, itinerary and current commercial document before creating a signature request. If an earlier option is still attached to the trip, identify it as superseded so it is not sent accidentally.

Confirm who is authorized to sign using the customer’s and broker’s actual process. The person coordinating travel may not be the signer. Do not infer authority from someone’s access to the trip or their role as the main email contact.

Keep internal approval distinct from signing

An internal approver may authorize spending while another person executes the agreement. Record the required sequence and tell the planner what remains to be done. This avoids a situation where one team believes the trip is complete while the other is waiting on a document.

Ask the broker to explain any further payment or confirmation steps in the actual transaction. This guide describes coordination, not the legal effect of a signature or the terms of a particular contract. Use the applicable documents and qualified advice for those questions.

  • Internal approval owner, where relevant.
  • Authorized signer and confirmed contact details.
  • Outstanding questions that must be resolved before signing.
  • Owner of the next booking or payment step.

Give the recipient enough context

The signer should be able to recognize the trip and understand what they are being asked to review. Use a clear trip reference and explain why the document is arriving. Avoid sending sensitive trip details to a broad group simply to keep everyone informed.

If the document changes, follow the broker’s process for the revised version. Do not assume a prior approval or signature automatically applies to different terms or a changed trip.

Make the completed document easy to find

Once signing is complete, confirm where the executed document lives and who needs access. Record the next required action rather than treating a completed signature as a universal indication that every arrangement is confirmed.
